Vendor and guest lists will pile up and many will have questions leading up to the event and on the day itself. Divert the endless questions to your wedding coordinator.
Don't spend every spare minute organizing your wedding. Coordinators will work with you to get everything done before and during your wedding. Get some sleep and enjoy yourself instead of worrying.

Planning a wedding miles away can be especially difficult. A wedding coordinator can be there in person to bridge the gap and guide you from wherever you are.
Venue coordinators will only help with so much. Wedding coordinators are responsible for bringing all of your details to reality.

Leading up to Your Wedding Day, I offer:
· To review and explain the entire planning process at our first consultation. This is also when I will collect copies of all your vendor contracts to date and get an idea of your vision/theme for your wedding day.
· Assistance with budget planning and management
· Venue selection and site visits
· Vendor sourcing, coordination, and management for ceremony & reception
· Oversight of additional design elements, including lighting design and tablescape décor
· Sourcing of custom/curated design pieces, including rental event furnishings and décor
· Oversight of structural event elements, including tenting, flooring, and staging
· Management of all transportation logistics for guests and wedding party
· Creation of a story board to reflect your design, theme, color palette, floral and linen recommendations and preferences
· To provide month-by-month planning checklist, if desired
· Creation of design and decor plan to include overall ceremony, stage, reception design review and layout, seating charts, table assignments, head table set up and logistics involved with guest flow
· Assistance with hotel booking accommodations for guests, including transportation to and from venue
· Unlimited phone calls and emails for planning assistance throughout the process, generally within a 24-hour response time
· Online planning sharing/access (in Timeline Genius platform)
· In-person consultations, as needed (see mileage info) which includes in-person venue or vendor meetings, as mutually arranged
· Review and familiarization of signed contracts with your venue and hired wedding professionals.
· Provide vendor recommendations
· Reminders sent via e-mail to track payment and action item due dates, if requested
· Personal contact with all contracted wedding professionals to gather pertinent information for designing the framework of your day, build communication and introduce self as point of contact
· To confirm and communicate in writing wedding day logistics with all vendors and venue owner, as needed, as well as determining final quantities on rental/venue items (linens, chairs, etc.) and menu based on headcount at least two (2) weeks prior to wedding
· Creation of a customized, detailed timeline of your wedding day schedule and distribution to all stakeholders: the venue, vendors, bride & groom, wedding party, officiant and relevant family members
· To meet with the couple, family, and other wedding professionals at the venue for walk-through to discuss wedding day details, including logistics and floor plans, to be completely familiar with the space and the rules and requirements of the venue
· To coordinate and direct the rehearsal with (or without, if not available to attend) the officiant, wedding party and key family members and to provide a schedule for day-of events at that time
· Information on how/when to apply for your marriage license
On Your Wedding Day, I Will:
· Personally be on site (along with my wedding assistant, if need is determined), for up to 14 hours for event management
· Manage the timeline, vendors and flow of events during your getting ready time, wedding ceremony, cocktail hour & reception
· Oversee ceremony / reception site set-up, including items that may not be handled by other vendors. These may be wedding programs, menus, place cards, guest book, favors, ceremony flowers and accessories, arranging seating cards, checking on linens / table settings, table numbers, signage, photo booth, etc.
· Distribute wedding party’s and families’ personal flowers
· Assist with photography coordination such that all family and wedding party members are organized and ready for photos and that photos are completed on time
· Oversee proper placement of reception accessories, such as flowers, centerpieces, other decor, toasting flutes, cake serving set, bouquets and all head/sweetheart table elements
· Instruct ushers with ceremony details (setting out aisle runner, lighting candles, seating etiquette, etc.)
· Coordinate wedding party — from staging line-up, processional, recessional, grand entrance through final send-off exit and departure
· Work with vendors to keep the events of the reception organized and on schedule
· Secure all wedding gifts/cards in pre-arranged location
· Provide wedding day “emergency kit” for wedding party
· Greet and direct vendors, wedding party, and guests, as needed
· Coordinate with Emcee/DJ on cueing music and announcements for: ceremony, grand entrance and introductions of newlyweds & wedding party, all special dances, toasts, cake cutting, and bouquet / garter toss, send-off, etc.
· Distribute final payments and/or gratuities to vendors, as needed
· At the end of your reception, there are many details that require attention so that you can feel comfortable leaving your guests to enjoy your wedding night. Therefore,
At the End of the Evening’s Event, I will:
· Ensure end-of-event arrangements are made for items, such as leftover wedding cake, gifts and cards, honeymoon fund, guest book, bride/groom toasting flutes, tuxedo rental, to-go food basket, etc.
· Communicate and confirm with limo service the pick-up point & time for send-off vehicle
· Oversee break-down/clean-up of event in coordination with venue, vendors and family
· Distribute final payments or honorariums and gratuities to vendors, officiant, as indicated
· Ensure leftover favors, food, decorations, and personal and rental décor, etc., are given to designated person(s)
· Oversee final wrap-up details by closing time of the event to avoid incurring overtime charges
· Collect wedding license paperwork (if officiant does not provide this service)
NOTE: If your venue requires that trash be removed from the premises at the end of the night, you will need to designate someone to transport trash away. I am happy to make sure all trash is collected and bagged, but I do not have the appropriate vehicle to remove trash/debris from the venue.
· Wedding Day Management does not include handling of food or desserts or clearing dishes nor does it provide for childcare of younger participants of the wedding by the Wedding Coordinator. Also, the family will need to provide assistance with packing up of all personal items and returning all rental resources made available by the Wedding Coordinator no later than the following day, unless other arrangements have been made for paid contracted help to handle this area.
After Your Wedding Day, I Will:
· Ensure that your wedding license is mailed on a timely basis to the County for recording on behalf of the officiant (if officiant does not provide this service)
· Provide a copy of the license for your records (if officiant does not provide this to you)
Travel fees apply as follows: If travel over 50 miles roundtrip is required, additional miles beyond 50 miles will be billed based on current IRS average of 65.5 cents/mile. Starting point is from Bothell, WA.
