Some things to consider where I can assist in the planning process, being mindful of this reflective occasion:
- Oversight of venue design elements, including room layout, setting up a memorial table & guest book, stage area, determining guest and family seating arrangements
- Receiving and placement of delivered floral arrangements at church or venue
- Reserved seating signage
- Preparing, proofreading, editing service bulletins, if desired
- Tablescape décor and table linen recommendations for the reception
- In-person consultations, as needed, including venue or vendor meetings, as mutually arranged
- Coordination and detailed day-of timeline with clergy, family and venue(s)
- Unlimited phone calls and emails for planning assistance throughout the process, generally within a 24-hour response time
- Personal contact with all contracted professionals (florist, caterer, sound technician, etc.) to gather pertinent information for designing the timeline of your day
- Familiarity with the space and the rules and requirements of the venue
- Personally on site to handle day-of details; greet and direct vendors, family and guests, as needed
- Distribute final payments and/or gratuities to clergy, vendors, as needed
- Ensure end-of-event arrangements are made for items, such as condolence cards, memory messages, guest book, flowers, personal mementos, service bulletins, leftover food, etc.
- Oversee break-down/clean-up of event in coordination with venue and family
NOTE: If your venue requires that trash be removed from the premises, you will need to designate someone to transport trash away. I am happy to make sure all trash is collected and
bagged, but I am not able to remove trash/debris from the venue.
Event Day Management does not include handling of food or clearing dishes, although this may be offered as a courtesy, if time allows. It also does not provide for childcare by the Event
Coordinator.
Also, the family will need to arrange for assistance to pack up all personal items. Returning all rental resources made available by the Event Coordinator is due no later than the following day, unless other arrangements have been made.
